Established in Atlanta, Tralongo LLC is an acquisition and management firm specializing in the private dental industry across the USA. Founded in 2013, their services are specifically designed for dentistry-based entrepreneurs looking to either get a foothold in the industry or go beyond this and grow their business even more, through the purchasing of previously owned offices and locations.
Functioning largely as a financial and legal assistance firm, their main services include investment aid and brokering, deal management services, human resources, marketing, and company management aid, which is all conveniently packed into a personalized app provided to each of their clients.
The client was able to save over 50% on bookkeeping and operational costs.
Requirements For The Project
Following the realization that their most experienced team members were being unnecessarily encumbered by day-to-day tasks instead of doing what they excel at, the operational leaders at Tralongo contacted our team, seeking assistance with task management and timeline adherence.
They were pursuing a solution that would allow them to outsource as many of these mundane tasks as possible, which could alleviate a lot of working pressure and increase the possibility for company growth and acquisition.
The tasks they wished to outsource included: customer support, order management, research and analysis, website management, purchasing, and accounting.
Challenges Tackled By Our Team
Before outsourcing their needs to our team, the client was struggling with numerous challenges that were directly affecting their daily targets. In an attempt to try and get the required data completed, they hired a separate team of accountants who were charging them high amounts to work on the data. The owner was also having difficulty finding in-house staff who could complete the reports during the later hours of the day for efficiency purposes.
Once our team came on board, we encountered challenges with the lack of arranged data found on their servers and online accounts, as well as almost no consolidated information stored on their QuickBooks account.
Providing at least 15 hours of active working time per day, we took a methodical approach aimed at reducing the completion times while helping to create a self-sufficient information storing process.
Our step-by-step process was as follows:
Once we successfully joined with the client, they gave us access to their Denticon program as well as their Quickbooks account.
We began by separating the different types of data needing to be captured and began working on the credit card statements first.
The information was extracted and transferred onto their QuickBooks account.
Next, we worked through old patient billing statements and refunds and transferred this information onto their account as a pre-set structure for future billing information.
We separated all clients with a payment structure of $600 or more for the IRS -1099-MISC tax report.
Our team ensured to collect all the necessary information, including address and social security or tax identification numbers.
We worked on the end-of-day reports last to confirm that all of the previous day’s information could be drawn conclusively before their staff began working for the next day.
Finally, we helped maintain the system and worked on any new information and transactions that took place.
